This Privacy Policy is a working draft prepared for CloudStream Software Solutions. It is not legal advice and should be reviewed by licensed counsel before publication.
CloudStream uses analytics and tracking technologies to improve our website, understand which services visitors care about, measure marketing performance, and create better lead follow-up experiences. We aim to be transparent about what we collect, why we collect it, and how visitors can control their preferences.
Introduction
CloudStream Software Solutions, LLC d/b/a CloudStream Software Solutions ("CloudStream," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit our website (the "Site"), why we collect it, how we use it, how we share it, and the choices you have.
CloudStream does not intentionally collect sensitive personal information through general website forms unless you voluntarily provide it. Please do not submit Social Security numbers, health information, financial account numbers, or other sensitive personal data through our contact or inquiry forms.
Information We Collect
We collect information in three primary ways:
- Information you provide directly through forms, consultation requests, booking activity, or email
- Information collected automatically when you browse the Site
- Information stored in our CRM and business systems when you become a lead or client
Information You Provide Directly
When you fill out a form, book a consultation, download a resource, or contact us, we collect what you submit — typically your name, email address, phone number, company name, job title or role, company website, business needs, Zoho apps in use, revenue range, budget range, and details about your current systems or challenges.
If you participate in our affiliate or referral programs, we may also collect program-specific information needed to administer those programs.
Information Collected Automatically
When you browse the Site, we and our service providers may automatically collect:
- Device and browser information (browser type, operating system, screen size, device type)
- IP address and approximate location (city/region level, derived from IP)
- Pages viewed, time spent on pages, and navigation paths
- Referring page, traffic source, and landing page
- UTM campaign parameters (source, medium, campaign, content, term)
- Click activity, including links, buttons, and calls-to-action interacted with
- Scroll depth on pages
- Form interaction events (for example, that a form was started, a field was focused, or a form was submitted — not the content typed into fields, which is handled separately)
- Booking and scheduling activity on pages that offer it
- File download activity
- Conversion events (for example, completing a booking or submitting a form)
- Cookie and analytics identifiers (pseudonymous IDs that do not, on their own, identify you by name)
CRM and Lead Data
If you submit a form or book a call, the information you provide is stored in our customer relationship management system (Zoho CRM), along with attribution metadata such as the page you landed on, the campaign that referred you, the service you expressed interest in, referrer data, device type, conversion page, form name, timestamp, and cookie consent status at submission.
This helps us respond appropriately, route your inquiry to the right consultant, measure which pages and campaigns generate qualified leads, and improve follow-up workflows.
Email Engagement
If you opt in to receive emails from us, we may track opens, clicks, and engagement with those emails to understand which content is useful, improve our communications, and avoid over-emailing unengaged contacts.
How We Use Information
We use the information described above to:
- Respond to inquiries and follow up on consultation requests
- Qualify and route leads to the appropriate team member
- Understand which pages, services, and offers are most useful to visitors
- Measure marketing campaign performance and attribute leads to channels
- Improve our website, service pages, and conversion flows
- Trigger appropriate follow-up workflows (for example, confirmation after booking)
- Maintain Site security and detect spam or abusive form submissions
- Analyze aggregate website behavior trends
- Support business operations, sales effectiveness, and service delivery
- Improve user experience and detect technical issues
We do not use your information to make automated decisions that produce legal or similarly significant effects.
How We Share Information
We do not sell your personal information for monetary consideration. We share information only with:
- Service providers who help us operate the Site and our business — for example, analytics providers (Google Analytics), tag management (Google Tag Manager), hosting (Vercel), CRM (Zoho), and scheduling or workflow tools. These providers are contractually restricted from using your information for their own independent purposes.
- Legal and safety reasons — if required by law, subpoena, court order, or to protect the rights, property, or safety of CloudStream, our users, or the public.
- Business transfers — if CloudStream is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy or a successor policy.
Third-Party Service Providers
Our Phase 1 measurement stack includes Google Analytics 4, Google Tag Manager, Zoho CRM, Vercel hosting, and our first-party cookie consent manager. We will update this policy before adding categories such as advertising pixels, session replay, or server-side tagging.

- Zoho Flow webhooks — lead routing, optional lead review logging, and optional behavior event streaming for internal analysis
Cookies and Tracking Technologies
We use cookies and similar technologies to operate the Site, remember your cookie preferences, understand how the Site is used, and measure marketing performance. See our Cookie Policy for full detail and how to manage your preferences.
Marketing and Attribution
We use first-party attribution data and, where you consent, analytics and marketing cookies to understand which campaigns, pages, and channels drive inquiries. As of this policy's effective date, CloudStream does not run paid retargeting or advertising pixels (such as Meta Pixel or LinkedIn Insight Tag). If that changes, this policy and our consent banner will be updated before those tools are deployed.
Data Retention
We retain form and CRM data for as long as necessary to maintain the business relationship and for a reasonable period afterward for record-keeping, or as required by law.
Analytics data is retained per Google Analytics settings, currently configured to 14 months.
Cookie consent records are retained for approximately 12 months to demonstrate compliance.
Data Security
We use reasonable administrative, technical, and organizational measures designed to protect the information we collect, including access controls limiting who at CloudStream can view CRM and analytics data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Privacy Rights
Depending on where you live, you may have the right to know what personal information we collect, request access or correction, request deletion, opt out of non-essential cookies and tracking, and opt out of the sale or sharing of personal information where applicable.

California Privacy Rights
Under the CCPA/CPRA, California residents have the rights listed above. We do not sell personal information for monetary consideration. To the extent our use of analytics or future advertising tools is considered sharing for cross-context behavioral advertising under California law, you can opt out via our Your Privacy Choices page or by rejecting non-essential cookies in our consent banner.
We honor the Global Privacy Control (GPC) signal where required by applicable law.
Other U.S. State Privacy Rights
Residents of states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, and others as they take effect) may have similar rights to access, correct, delete, and opt out of targeted advertising or certain profiling, subject to each state's specific provisions.
International Visitors
If you access the Site from outside the United States, including from the European Economic Area or United Kingdom, your information may be transferred to and processed in the United States.
If CloudStream receives meaningful traffic from the EU/UK, this section should be expanded with GDPR-specific lawful basis, data subject rights, and transfer mechanism language — confirm with counsel before marketing in those regions.
Cookie Choices and Opt-Out
You can manage cookie preferences through our consent banner, the Your Privacy Choices page, or your browser settings. Rejecting non-essential cookies limits analytics and marketing measurement but does not prevent you from submitting forms or contacting us.
Children's Privacy
The Site is intended for business audiences and is not directed at children under 16. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy as our practices or applicable law change. We will post the updated policy with a new effective date. We will not retroactively narrow disclosures below the level of tracking actually in use.
